Adams Lake Indian Band is seeking one fulltime Finance Officer - AP to work under the direction of the Accounting Coordinator or designate. The Finance Offer – AP is responsible for processing and performing the accounts payable function for the Adam Lake Indian Band and its affiliated companies.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Performs all duties and responsibilities in accordance with Adams Lake Indian Band laws, policies and procedures
Ensures accurate input of data into Adagio
Assists in implementing efficiencies and operational improvements as it applies to the accounts payable function
Maintains the accounts payable sub-ledger, reconciling supplier’s invoices with ALIB purchase orders and ledger balances
Reconciles accounts payable sub-ledger to general ledger control accounts monthly
Maintains and provides a monthly accounts payable aged trial balance to the Financial Controller and Accounting Coordinator
Determines with Chief Financial Officer, the orderly payment of supplier’s dependent on cash flow and management requirements
Receives, reviews and processes purchase orders, supplier’s payments, and utility bills for direct payment
Prepares monthly schedule showing all utility charges to be recovered from staff and/or members and forwards to Financial Controller and/or Accounting Supervisor for reconciliation and A/R for recovery
Maintains the Band Office petty cash fund, reconciling and replenishing as necessary
Issues payment of City of Salmon Arm utility bills, water and sewer, forwarding billing information to A/R for payment recovery
Maintains an accurate accounting and file for the GST travel rebates
Reconciles suppliers’ invoices with statements on a monthly basis
Maintains a record of voided cheques and the adjustments
Maintains an accurate filing system for cheques, accounts payable, & vendor statements
Maintains supplier/vendor files with appropriate documentation
Maintains an adequate supply of purchase orders, cheque requisitions and cheque supply
Processes travel claims for Chief & Council, Staff and various committees
Answers inquiries, provides information and forms as required
Maintains the work area in a clean and professional manner
Performs other related duties as required.
QUALIFICATIONS, KNOWLEDGE, AND SKILLS
Minimum of Grade 12 education or equivalent
Post secondary education, successful completion of level one accounting, preferred
Minimal of 2 years of experience in an accounting/bookkeeping environment
Possess strong computer skills using MS Word, Excel and Adagio accounting systems
Excellent analytical and organizational skills to achieve desired results
Diplomacy, tact and confidentiality in dealing with a variety of people and information
Reliability, dependability, and flexibility to adapt to changing work priorities
Good interpersonal skills, verbal and written communication skills & good judgement
Ability to work in a team orientated environment
SUPERVISORY RESPONSIBILITIES N/A
PHYSICAL DEMANDS Those normally associated with a typical office environment. Continuous visual concentration on computer/laptop and/or calculator.
WORKING CONDITIONS Most of the work is performed in a typical office environment.

TERMS OF EMPLOYMENT: Full time permanent position Wage range: $30 - $35 per hour Upon completion of probation ALIB offers comprehensive Benefits and a Pension Plan. Hours per week: 75 hours biweekly (max 37.5 hrs./week)
