What this job involves:
As the Assistant Facilities Manager you will be part of the broader facilities team and will focus on coordinating and managing vendors to ensure they meet the compliance and KPIs requirements. You will also have the responsibilities in the delivery of the services to operate and maintain the properties. You will be part of a team delivering services on behalf of a high-profile Commonwealth Department, with a global footprint.
Key responsibilities include but are not limited to:
Assist SFM in managing WHS & Compliance activities
Vendor management, i.e. inductions, review SWMS/JSA, vendor meetings
Incident reporting
Understanding Statutory Compliance requirement, assist in the compliance audit
Serve as a first point of contact for clients and contractors on the allocated properties.
Coordinate with clients and contractors to deliver Reactive and Preventative maintenance workorders through JLL Work Order Management system (Corrigo).
Using existing procedures to solve routine or standard problems.
Setting up new vendors, invoice processing, budget management
Assist SFM in manage and deliver minor works through the procurement process
Assistance in delivery of the annual building inspections.
Skills & Experience
Our team is looking for a suitably qualified & skilled candidate with strong organisation, administration, and communication skills.
To be successful, you’ll possess high levels of communication and interpersonal skills, have a passion for providing quality customer service and a keen eye for detail! You’ll be a collaborative team player with the ability to manage tight schedules and deliver high quality of work.
A tertiary qualification in property, facilities or construction management is desirable or 2 years + experience facilities, property management or a related field.
You must be an Australian Citizen in order to comply with our client’s requirement with the ability to obtain and maintain an Australian Government Security Clearance. A minimum Negative Vetting 1 (NV1) security clearance is preferred.
Strong knowledge of HS&E requirements
Strong knowledge of vendor management
Proven ability to commit flawless execution while complying with procedures and standards
